Voice receptionist

An optional add-on that answers your phone. It uses the same brain as your text assistant, so a caller and a texter get the same answers about your business.

What it does

When someone calls your Prybar number, the assistant answers, greets the caller, listens to what they need, and replies out loud. It can answer questions about your services, hours, and prices, and book an appointment during the call.

Calls and texts share one conversation history, so a caller who books and then texts a follow-up question is recognised as the same customer.

Note

The voice receptionist is an add-on, not part of the base plan. See Billing & plans for the price and included minutes.

Voices

You choose the voice from the available set, in Settings → Prybar Assistant → Replies & Tone. Voices are studio quality and preloaded on the voice server, so changing yours does not add any latency to the conversation.

You can also adjust speaking rate and greeting. Test a change on a real call before you commit — a voice that reads well is not always the one that sounds best on a phone line.

Transfers to a human

When a caller explicitly asks for a person, the assistant can hand the call to a number you nominate. It tells the caller it is connecting them and bridges the live call across.

The part that matters: the person receiving the transfer gets a text first, carrying the caller’s number, a summary of what they want, and a link — so they answer already knowing what the call is about, instead of cold.

Heads up

If the transfer cannot be completed, the caller is not dropped. The assistant stays on the line, tells them it is having trouble connecting, and the team is notified by text either way — so the request is never lost to a failed handoff.

Missed calls and callbacks

If you miss a call and the caller hangs up, Prybar texts them immediately so the conversation can continue. If a callback is warranted, the assistant can place it.

Two behaviours worth knowing:

  • Voicemail detection. When a callback is answered by a machine rather than a person, the assistant recognises that, leaves a short voicemail, and moves on — instead of talking to a voicemail box or retrying it as if it were a missed human.
  • Bounded calls. Every call has a time limit, and if audio fails to start the call ends and is retried. A caller can never end up holding a silent line.

Keeping your number

You do not need to port your number or change carriers. Set conditional call forwarding so calls reach Prybar when you are busy or do not answer, and your customers keep dialling the number they know.

Setup instructions are in the quickstart and in more detail at Keep your number.

When not to use it

The voice add-on is not a replacement for a human answering service in every situation. It is the right tool when calls are mostly routine — hours, pricing, booking, availability. If most of your calls are complex negotiations, the assistant will spend a lot of time transferring, and you should test it on real calls before relying on it.
