Getting Started
How do I set up Prybar?+
Sign up, complete the Stripe checkout (7-day free trial, no charge), then choose a local phone number. Fill in your business info and customize how your AI sounds. Once you launch, your number is live and your AI assistant is ready to handle texts. The whole process takes about 5 minutes.
How do I test my AI assistant?+
Text your Prybar number from your personal phone. Pretend you're a customer — ask about pricing, availability, or book an appointment. You'll see the conversation appear in your dashboard. The AI will respond just like it would to a real customer.
Can I keep my existing phone number?+
Yes. Prybar gives you a dedicated number for customers to text. Your existing personal and business numbers stay exactly as they are. Put the Prybar number on your website, Google listing, and truck.
How do I put my Prybar number out there?+
Add it to your Google Business Profile, website, social media, business cards, truck/van wrap, and email signature. The more places it appears, the more leads the AI captures for you.
What if I need a different number?+
You can search for and purchase a new number from the Settings page. Numbers are available by area code. We'll assign the new number to your business automatically.
Using Your AI Assistant
How does the AI work?+
When a customer texts your Prybar number, the AI reads the message, checks your business info (services, pricing, FAQs, schedule), and responds naturally. It can answer questions, capture contact details, book appointments, send estimates, and follow up on leads — all through text messages.
How do I train the AI?+
Go to Settings → Train AI. Add important facts about your business (pricing, policies, service area, specialties). The AI reads these facts on every conversation. You can also add FAQs and adjust your AI's personality from Settings.
What if the AI doesn't know something?+
The AI is designed to never guess or make things up. If it doesn't have the information, it says 'Let me check with the team' and the conversation gets flagged for your attention. You can then reply directly from the dashboard.
Can I pause the AI?+
Yes. In any conversation, you can toggle the AI off. When it's off, new messages from that customer will be forwarded to you without AI responses. Turn it back on anytime.
Does the AI handle emergency situations?+
Yes. The AI detects urgent keywords (gas leak, flooding, fire, etc.) and immediately sends you an SMS alert. The conversation is also flagged in your dashboard for immediate attention.
Conversations & Leads
Where do I see my conversations?+
Open your dashboard and click Conversations. Every text conversation is listed in chronological order. Click any conversation to see the full thread and respond directly.
How are leads captured?+
When a new customer texts in, the AI automatically creates a lead record with their phone number and message. As the conversation progresses, the AI extracts their name, service needed, address, and urgency level. All leads appear in your Lead Pipeline.
How do I follow up with leads?+
From the Command Center, ask your office manager assistant 'Show me leads that need follow-up' or 'Follow up with cold leads.' The AI will identify leads that haven't responded or booked and can send follow-up messages automatically.
Can I manually add a lead?+
Yes. From the Lead Pipeline, click 'Add Lead' and fill in their info. You can also text a new customer directly from the Conversations page.
What happens to resolved conversations?+
Conversations older than 7 days are auto-resolved. They stay in your history but move out of the active view. If a customer texts back, the conversation reopens automatically.
Bookings & Schedule
How does appointment booking work?+
When a customer wants to book, the AI checks your available slots and offers options. Once the customer picks a time, the AI confirms the appointment and adds it to your schedule. You get an SMS and email notification.
Where do I see my schedule?+
Open your dashboard and click Schedule. You'll see a weekly calendar view with all appointments. Each appointment shows the customer name, service type, time, and status.
Can I set my available hours?+
Yes. Go to Settings → Business Info to set your business hours. The AI only offers appointments during your listed hours, and won't book outside of them.
What if I need to reschedule?+
Click any appointment in the Schedule to edit it. You can change the date, time, service type, or tech assignment. The AI will inform the customer of the change if needed.
Can I add multiple techs or crews?+
Yes. From Settings, add techs with their names and availability. Appointments can be assigned to specific techs, and the AI won't double-book the same tech.
Quotes & Invoices
How do I send a quote?+
From any conversation in your dashboard, type 'Create a quote for this customer' or use the Quotes page. Add line items, set the total, and send it. The customer receives a text with a link to view and accept the quote online.
Can customers accept quotes online?+
Yes. The quote link opens a clean, mobile-friendly page where customers can review the details and sign digitally to accept. You get a notification when they accept.
How do I create an invoice?+
From the Invoices page, click 'New Invoice' or ask your assistant 'Create an invoice for [customer].' Add line items and send it. The customer gets a link to view and pay online.
Can customers pay invoices online?+
Yes. Each invoice has a 'Pay Now' button. Customers can pay by card through Stripe Checkout. You get an SMS and email notification when an invoice is paid.
Can I convert a quote to an invoice?+
Yes. From the Quotes page, click 'Convert to Invoice' on any accepted quote. The line items carry over automatically.
Dashboard & Command Center
What's the Command Center?+
It's your home page. Shows a daily briefing (new leads, upcoming appointments, flagged conversations), key metrics, and quick actions. Your AI office manager can also give you a verbal summary — just type 'What's going on today?'
Can I use the AI from my dashboard?+
Yes. Click 'Assistant' to open your office manager. You can ask anything: 'What's my pipeline look like?', 'Book a follow-up for this customer', 'Send me a weekly summary.' It has access to your full business data.
How do I search for a customer?+
Ask your assistant 'Find [customer name]' or use the Customers page. You can see their full history: conversations, appointments, quotes, invoices, and payments.
What metrics does the dashboard show?+
You'll see conversation counts, lead conversion rates, appointment bookings, quote acceptance rates, revenue collected, and more. Ask your assistant 'Show me my pipeline' or 'How many quotes are pending?'
Settings & Customization
How do I change my AI's personality?+
Go to Settings → Business Info. Choose from Friendly, Professional, or Concise. Your AI will adjust its tone on all future conversations.
How do I add or update FAQs?+
Go to Settings → Train AI. Add questions and answers your customers commonly ask. The AI reads these before responding, so it can give accurate answers immediately.
Can I set my service area?+
Yes. Go to Settings → Business Info and enter your service area. The AI will politely decline customers outside your area instead of wasting their time.
How do I update my business hours?+
Go to Settings → Business Info. Set your regular hours and the AI will only offer appointments within those hours.
Can I set up review requests?+
Yes. Go to Settings → Business Info and add your Google Review link. The AI can automatically request reviews from customers after completed appointments.
Billing & Account
How does the free trial work?+
You get 7 days free from the moment you sign up. No credit card is charged during the trial. After 7 days, your card is charged $79/month (founding member rate). You can cancel anytime before the trial ends and never pay a cent.
What's included in the plan?+
Everything: dedicated phone number, AI conversations (up to 200 customer threads/month), lead capture, appointment booking, quotes and invoices, customer follow-ups, missed call text-back, review requests, owner dashboard, and SMS + email notifications.
Can I upgrade or change my plan?+
Currently there's one plan at $79/month (founding member rate) or $99/month regular. Contact us if you need higher conversation limits or custom features.
How do I cancel my subscription?+
Go to Settings → Billing to manage or cancel your subscription. Your service stays active through the end of your billing period. There are no cancellation fees.
What happens if my payment fails?+
We'll notify you by email and SMS. Your service continues for a grace period. After that, your number may be deactivated. Update your payment method from Settings → Billing to keep running.
Troubleshooting
The AI isn't responding to texts. What's wrong?+
Check: (1) Your business is marked Active in Settings. (2) Your phone number is assigned and visible on your dashboard. (3) AI is not paused for that conversation. (4) If you just set up, carrier activation can take 1-3 business days. Try the live demo on the landing page to test the AI independently of SMS.
I'm not getting notifications. What's wrong?+
Check that your notification phone number is set in Settings → Business Info. Make sure your email on file is correct. Check your spam folder for Prybar emails. Notifications send to the phone number and email on your account.
The AI gave a wrong answer. What do I do?+
Toggle AI off in that conversation and reply directly to correct it. Then go to Settings → Train AI and add a fact that covers the correct information. The AI learns from the facts you give it.
My number isn't working after setup. Why?+
New numbers typically take 1-3 business days for carrier verification. We'll notify you when your number is live. In the meantime, use the live demo on the landing page to test the AI experience.
How do I contact support?+
Email us at hello@prybar.ai. We respond within 24 hours. For urgent issues, mention 'urgent' in the subject line.
